Steps on Getting Your Degree Apostille in NYC

Step 1: Getting started – notarize documents. 

To begin the Apostille or authentication process, you will need to have notarized your transcript, verification, and diploma. First, of course, you must secure your official and certified true copy of credentials from your University Registrar. Your educational document must be certified by an official at the educational institution attesting that the document is an official record or a true copy of the original document. 

Step 2: Get notarized the school official’s signature.

Usually, schools have an in-house public notary; if not, you can arrange for a mobile notary to come to the school and meet with the Registrar at their convenience. The notary is required to apply proper notarial laws of their State for the State office to authenticate your diploma and other school credentials.

Once you receive your notarized degree credentials, you must check them carefully to make sure that they are properly signed and notarized. Verify that your documents bear the original signature and the printed name of the Registrar. Some schools sign and notarize the back of the diploma, while other schools have enough space on the front for it. You must also check other important details, such as the notary’s name, signature, date of notarization, notarial affidavit, and seal.

Step 3: Certify with the County Clerk

The next step to getting your degree Apostille in NYC is taking your notarized document to the County Clerk’s office to have the signature of the notary public certified. Do note that this service is on a first-come, first-served basis. The County Clerk’s office is at New York County Clerk, Notary Section, 60 Centre Street, Room 141B Basement, New York, NY. 

You may also mail your notarized documents to the Albany office at the New York Department of State, Division of Licensing Services, Apostille and Authentication Unit, PO Box 22001

Albany, NY 12201-2001. There is a per document fee here by the County Clerk’s office.

Step 4: Proceed to the New York Department of State to secure the Apostille

It is time to take your documents to the New York Department of State after getting them certified by the County Clerk’s office. The New York Department of State office will affix the Apostille to your documents. You can visit the New York Department of State Monday through Friday, from 9 am-3:30 pm. It is advisable that you learn more about the New York Department of State’s office before your visit.

The New York Department of State is at 123 William Street (between Fulton and John Street), 2nd floor, New York, NY 10038. It is where you will be getting your degree Apostille in NYC completed by doing the following:

  1. Complete the Apostille/Certificate of Authentication Request Form. 
  2. You must attach your properly authenticated documents to the completed Apostille/Certificate of Authentication Request Form.
  3.  Include applicable fees and mailing instructions as indicated on page 1 of the form.

The Department of State will not accept payments in cash. So make sure you have a money order. There is also a per document fee.
